Certification Reimbursement Policy


A major part of NCMA’s mission is professional development.  The San Diego Chapter reimburses members for costs associated with NCMA certifications to encourage individuals to further their careers in contracts management.


Reimbursement of NCMA Certification Fees


Reimbursement grants to successful applicants are the costs of NCMA application fees and the fees to take certification examinations.  Reimbursements will be made up to $95 for test fees and up to $150 for application fees.  Total maximum reimbursement will be $245 per certification.  Grants will be made contingent upon the availability of Chapter funds.  Financial need is not a basis of award.  Reimbursements are granted only to Chapter members that do not have full funding available from their employer or from other benefit programs, grants, etc. NCMA Certifications include:

  • Certified Commercial Contracts Manager (CCCM)

  • Certified Federal Contracts Manager (CFCM)

  • Certified Professional Contracts Manager (CPCM)

  • Industry Certification in Contract Management–Defense (ICCM–D)

  • Industry Certification in Contract Management–Federal (ICCM–F)


Certification Reimbursement Application Instructions

Certification reimbursement requests shall be emailed to the Education Director at education@ncmasd.org in either of the months identified in the section “Schedule for Certification Reimbursement Requests, Evaluation and Disbursement” and after certification has been obtained. The email shall contain a letter that provides the information enumerated below.  All required information must be contained therein to be considered a responsive application.

Letter Contents:
  1. Your  name and contact information (i.e., home address, e-mail address and telephone number)
  2. Your NCMA membership number (membership in NCMA is a requirement to apply for a certification reimbursement).  For membership information (and application if not a member), go to: www.ncmahq.org.
  3. The amount of reimbursement you are seeking. The amount your employer will reimburse certification costs and any other reimbursement received.
  4. Identification of any prior certification reimbursements received from NCMA, including but not limited to, the San Diego Chapter
  5. Statement of permission to make public your name, amount of reimbursement received, and the certification title, examination date and where taken.  The media for publication may include, but are not limited to, the Chapter newsletter and the Chapter website.
  6. Proof of Certification: Valid proof of certification is a copy of (i) the automated email from NCMA indicating successful completion of certification; (ii) the congratulatory letter mailed by NCMA Headquarters; or (iii) a copy of the certificate.

Schedule for Certification Reimbursement Requests, Evaluation and Disbursement


Reimbursement applications will be accepted, evaluated and granted twice a year as summarized in the following table and described below:

The Chapter program year is from July through June of the subsequent year.  Reimbursements are budgeted on an annual basis. 


Certification reimbursement requests submitted to the Education Director during October will be evaluated in November.  Funds for successful reimbursement requests will be disbursed in December, based on the availability of Chapter funds.


Certification reimbursement requests submitted to the Education Director during April will be evaluated during May.  Funds for successful reimbursement requests will be disbursed in June based on the availability of Chapter funds.  Note that this is the second evaluation period during a program year and funds may be limited based on the number of grants during the first period.


Certification Reimbursement Evaluation Criteria

Properly completed certification reimbursement requests will be evaluated by a committee established by the Chapter’s Board of Directors.  The committee will be made up of three members of the Board who will evaluate the reimbursement requests received during that period and make recommendations for grants to the Board.  The Board will make the final determination on reimbursements, based on the committee’s recommendations and availability of Chapter funds.


Frequently Asked Questions

What is the deadline to submit a certification reimbursement requests?
Reimbursement requests will only be accepted during the months identified in the above table and should be submitted during the first application period after the Chapter member has been notified that the certification examination was successfully completed.  It is recommended that you contact the Chapter’s Education Director before applying to ensure that certification reimbursement funds are still available for the current period.


How will I find out if I am going to receive a certification reimbursement?
The Education Director will notify each applicant if his/her certification reimbursement request is granted.  If awarded, a check subsequently will be mailed to the applicant.  If a grant is not awarded, you may resubmit the request in a subsequent period.


When are certification announcements made?
When a certification reimbursement is awarded, the Chapter may include an announcement of the award in the Chapter’s newsletter, on the Chapter’s website or other forum.  The announcement may include the member’s name, certification received and the amount of reimbursement made by the Chapter.  Your certification reimbursement request must consent to this publicity.


May individuals submit certification reimbursement requests more than once?
An individual may apply for reimbursement for each certification received.  However, if limited funds are available, a qualified individual that previously has not received a certification reimbursement will be given preference over one who has.
